How to Maintain Accuracy in High-Volume Review Projects

| April 16, 2026

As data volumes continue to expand, the pressure on legal teams to move faster through the document review process has never been greater. But speed alone is not the goal—document review accuracy remains critical to defensibility, risk mitigation, and overall case strategy.

High-volume review projects introduce unique challenges: large datasets, tight timelines, distributed teams, and evolving case requirements. Without the right structure in place, even small inconsistencies can scale into meaningful risk. Maintaining accuracy at this level requires more than effort—it requires a deliberate, repeatable approach grounded in strong quality control and clearly defined reviewer protocols.

Here’s how modern review teams maintain accuracy, even at scale.

Start with Clear Reviewer Protocols

Accuracy begins before the first document is ever reviewed. Establishing detailed reviewer protocols is one of the most important steps in setting a project up for success.

Effective protocols should include:

  • Clear definitions of responsiveness and key issues
  • Standardized coding instructions for all review fields
  • Examples of edge cases to guide judgment calls
  • Escalation paths for uncertain or complex documents
  • Coding instructions that align one-to-one with the review tool layout

When reviewers are aligned from the outset, variability is reduced and decisions become more consistent across the dataset. This foundation is essential for maintaining document review accuracy as volume increases.

Implement Layered Quality Control

In high-volume projects, quality control cannot be treated as a single checkpoint. Instead, it should be structured as a multi-layered system that continuously validates work throughout the review.

  • First-level review checks to ensure baseline consistency
  • Second-level review to validate coding decisions and catch errors
  • Targeted QC searches focused on high-risk or high-impact documents

This layered approach ensures that errors are identified early and corrected before they propagate across the dataset. It also reinforces accountability at every stage of the review.

Use Sampling to Measure and Improve Accuracy

Maintaining document review accuracy requires more than intuition—it requires measurement.

Sampling strategies provide a data-driven way to evaluate performance:

  • Random sampling assesses overall accuracy rates
  • Judgmental sampling targets specific issues or document types
  • Elusion sampling identifies potentially missed responsive documents

By regularly analyzing sampling results, teams can identify patterns, address gaps, and refine reviewer protocols in real time. This continuous improvement loop is critical in large-scale projects where conditions can shift quickly.

Leverage Technology to Reduce Human Error

Technology plays a central role in supporting accuracy in modern review workflows.

Advanced platforms offer capabilities such as:

  • Automated consistency checks to flag conflicting coding decisions
  • Email threading and deduplication to reduce redundant review
  • AI-assisted review tools to prioritize likely responsive documents

These tools don’t replace human judgment—they enhance it. By reducing repetitive tasks and surfacing potential issues, technology allows reviewers to focus on higher-value analysis while maintaining strong quality control.

Maintain Real-Time Visibility into Review Performance

One of the biggest risks in high-volume review projects is a lack of visibility. Without insight into how the review is progressing, issues can go unnoticed until they become costly to fix.

Modern workflows address this through:

  • Live dashboards tracking reviewer productivity and accuracy
  • Coding trend analysis to identify inconsistencies across reviewers
  • QC metrics reporting to monitor error rates and improvements

This real-time visibility enables faster decision-making and allows teams to course-correct before small issues escalate.

Create Continuous Feedback Loops

Accuracy improves when feedback is timely, specific, and actionable.

Strong review teams incorporate feedback loops that:

  • Provide reviewers with regular performance insights
  • Share clarifications and updates to protocols as needed
  • Reinforce consistent decision-making across the team

Rather than waiting until the end of a project to address issues, ongoing feedback ensures that reviewers stay aligned as the review evolves. This is especially important in complex matters where interpretations may shift over time.

Scale Teams Without Sacrificing Consistency

High-volume projects often require rapid team expansion. However, scaling reviewers without maintaining consistency can undermine document review accuracy.

To mitigate this risk:

  • New reviewers should be onboarded using standardized training materials
  • Calibration exercises should be conducted to align decisions across the team
  • QC processes should remain consistent, regardless of team size

A structured approach to scaling ensures that quality remains stable, even as the volume of work increases.

Document Decisions for Defensibility

Accuracy is not just about making the right decisions—it’s about being able to demonstrate how those decisions were made.

Maintaining thorough documentation is essential to creating a clear and defensible audit trail. This includes:

  • Reviewer protocols and updates
  • QC methodologies and sampling results
  • Key decision points and escalations

This level of transparency strengthens defensibility and provides confidence that the review was conducted with rigor and consistency.

Bringing It All Together

Maintaining accuracy at scale requires a combination of structured processes, technology, and ongoing oversight. Key elements include:

  • Clearly defined reviewer protocols
  • Layered quality control processes
  • Data-driven sampling and analysis
  • Technology-enabled workflows
  • Continuous feedback and visibility

Together, these components enable legal teams to achieve high levels of document review accuracy, even under significant time and data pressures.

At Array, accuracy is central to every review engagement. Our teams integrate robust quality control frameworks and proven reviewer protocols into each project, helping clients manage complexity, reduce risk, and deliver defensible outcomes at scale.

In today’s data-driven litigation environment, accuracy isn’t optional—it’s foundational. With the right processes in place, it’s also entirely achievable.
